Operations Coordinator, College of Osteopathic Medicine

Touro University Nevada (Touro) is seeking an Operations Coordinator to support the daily and strategic operations of the Dean’s Office, including coordination of leadership priorities, institutional initiatives, and executive-level communications.

This position is a vital member of the Touro University Nevada College of Osteopathic Medicine (TUNCOM) and will work with a wide range of people to support its mission to provide quality education programs in concert with the Judaic commitment to social justice, intellectual pursuit, and service to humanity.

1. Manage the Dean’s daily operational activities, including calendar/meeting/ agenda management.
2. Provide a high-level of administrative and confidential support for the Dean in all communication (email, phone, social media, and all other platforms).
3. Arrange and maintain the Dean’s travel schedule and assure all appropriate travel logistics and ramifications to the Dean’s schedule.
4. Initiate appropriate workflow based on the Dean’s office’s priorities and independently maintain effective and efficient communications and task assignments.
5. Prioritizes and executes work in alignment with the Dean’s office, while coordinating across senior leadership including TUNCOM’s, Senior Associate Dean, Associate Dean (s), Assistant Dean(s), Department Chairs, as well as Faculty and Staff to support institutional operations.
6. Assure excellent communication and collaborative efforts with the leadership team of TUN and the College of Health and Human Services.
7. Serve as the front-facing representative of the Dean’s office, cultivating and maintaining effective relationships with students, faculty, staff, and external stakeholders while ensuring a high standard of professionalism, responsiveness, and discretion.
8. Assist with planning for internal and external events including logistics and programming.
9. Coordinate and track progress on the Dean’s office strategic priorities and key initiatives to ensure project delivery within allotted budget and timeline.
10. Prepare expense reports in a timely manner.
11. Track TUNCOM expense budget and facilitate the procurement of items requested in accordance with University procedures and standards.
12. Prepare and maintain clear and accurate documents including preparation for accreditation activities, site visits, and institutional reporting, as well as maintaining records related to leadership decisions and institutional initiatives following office management principles and procedures for efficient business operations.
13. Manage office supplies and the maintenance of office equipment.
14. Assemble, prepare, and distribute meeting agendas, briefing materials, minutes, summaries and supplemental materials (attend meetings as appropriate); maintain personal and departmental electronic files.
15. Assist in developing routine operational correspondence.
16. Demonstrate ability to manage multiple tasks and meet deadlines despite interruptions.
17. Exercise discretion and maintain confidentiality in carrying out all responsibilities.
18. Take initiative in managing workflows, prioritizing tasks, and problem-solving to ensure matters requiring attention are handled appropriately; work effectively in stressful situations.
19. Fulfill other duties as assigned. 

Education:

• Bachelor’s degree in business related field required. 

Experience:

• 3+ years of work experience in a similar role.
