St. Jude Children’s Research Hospital is seeking a dynamic, detail-oriented, and proactive Program Specialist to join our nationally recognized ACGME-accredited Hematology/Oncology Fellowship Program. What You’ll Do

  • Assist in scheduling, tracking, and documenting fellow activities and progress throughout the program. This includes supporting the Fellow clinical rotation schedule, evaluation processes, and tracking fellow educational activities.

  • Organize and coordinate program events such as recruitment, orientation, graduation, and educational seminars. This includes managing logistics for meetings, creating interview schedules, communicating with fellows and candidates, and other event planning activities.

  • Liaise with supporting departments across St. Jude in support of the fellowship program.

  • Maintain and update program records, handbooks, and policy documents.

  • Process fellow reimbursements, vendor payments, travel authorizations, and expense submissions in accordance with institutional policies.

  • Proactively identify areas for operational or educational improvement and recommend solutions to program leadership.

  • Serve as contact for fellows regarding scheduling, program logistics, and general support.

  • Attend program meetings, take minutes, and follow up on action items.

  • Communicate with outside programs (e.g., American Board of Pediatrics, ACGME, ERAS, NRMP etc.) to support the fellowship & ensure alignment with governing policies.

  • Participate in and support annual reporting and evaluation processes.

 

 What We’re Looking For

  • Bachelor’s degree required.

  • 1+ year of experience in program coordination or event management.

  • Experience in Graduate Medical Education (GME), academic program coordination, or a related field preferred.

  • Exceptional organizational skills and attention to detail.

  • Proficiency in MS365 (Outlook, Excel, Word) strongly preferred.

  • Experience using Adobe Acrobat and online survey tools preferred.

  • Experience with LMS or other similar software plus.

  • Ability to work independently, prioritize competing demands, and communicate professionally.

  • Commitment to confidentiality, accuracy, and continuous improvement.

  • TAGME certification preferred (or willingness to obtain within 3 years).

Compensation

In recognition of certain U.S. state and municipal pay transparency laws, St. Jude is including a reasonable estimate of the compensation range for this role. This is an estimate offered in good faith and a specific salary offer takes into account factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, licensure and certifications, and other business and organizational needs. It is not typical for an individual to be hired at or near the top of the salary range and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current salary range is $60,320 - $105,040 per year for the role of Program Specialist- Hematology/Oncology Fellowship Program.
