The Residency Program Specialist plays a pivotal role in supporting the day-to-day operations and administrative functions of a community-based Family Medicine Residency Program. Join our dynamic team and make a meaningful impact on the future of healthcare professionals!

Essential Duties and Responsibilities

  • Develop, maintain, and distribute custom resident rotation block schedules, enter on-call schedules, track and summarize various data for reporting, maintain residency database and hard copy files.
  • Provide comprehensive administrative support to Residency Program Manager, Program Director, Faculty, and Residents, ensuring smooth program operations.
  • Assist with the preparation and distribution of resident contracts, program policies, and program correspondence with attention to detail and professionalism.
  • Manage financial aspects including preparation and submission of expense reimbursements and oversight of discretionary accounts.
  • Coordinate logistics for program events including planning, ordering, set-up, and room preparation for meetings and educational sessions.
  • Collaborate with the Residency Program Manager in ensuring compliance with residency and institutional accreditation standards.
  • Play an active role in residency recruiting efforts and new resident orientation, helping to shape the future of our program.
  • Participate in key meetings, prepare comprehensive meeting agendas and detailed minutes to support program governance.
  • Maintain confidential records, reports, and files in an organized manner with the highest standards of privacy and security.

Required Qualifications

  • Basic understanding of ACGME (Accreditation Council for Graduate Medical Education) and/or other accreditation requirements for residency programs.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and demonstrated ability to quickly learn new software systems (e.g., residency management software).
  • Excellent communication and interpersonal skills, with the ability to interact professionally with a diverse range of stakeholders including residents, faculty, and healthcare partners.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively and meet deadlines in a fast-paced educational environment.
  • Detail-oriented, proactive mindset with the ability to work independently while contributing positively to team objectives.
  • Demonstrated ability to handle confidential information with discretion and maintain professionalism in sensitive situations.

Education/Experience

Minimum of 2–3 years of administrative experience in an academic or healthcare setting required; experience in graduate medical education preferred. Associate's degree from an accredited college or university preferred.
